Construction Administrator

Location: Kearny Mesa, CA 92123

Hours: Monday - Friday 630am or 7am to 330pm or 4pm

Pay: $25 - $29/hr DOE

Position Summary

The Construction Administrator provides administrative and project coordination support to the construction management team. This role is responsible for processing change order requests, tracking project milestones and due dates, supporting billing activities, and maintaining communication with internal teams and clients to ensure projects remain on schedule and within budget.

Key Responsibilities

?? Change Order Administration

  • Prepare, issue, and track Change Order Requests (CORs).
  • Review submitted change orders for accuracy, completeness, and proper documentation.
  • Coordinate with project managers, field superintendents, and designers to verify scope and pricing details.
  • Maintain accurate logs of all change orders and status updates.

?? Meeting Coordination & Documentation

  • Attend project meetings (internal and client-facing).
  • Record and distribute detailed meeting minutes.
  • Track assigned action items and follow up to ensure timely completion.

?? Schedule & Deadline Management

  • Monitor and track critical project deadlines, including:
    • Submittal due dates
    • Inspection dates
    • Construction schedule milestones
  • Proactively follow up with responsible parties to ensure deadlines are met.
  • Update tracking logs and notify project leadership of potential delays.

?? Billing & Financial Support

  • Assist with preparation of monthly billing packages.
  • Collect and consolidate input from:
    • Designers
    • Field Superintendents
    • Purchasing
    • Accounts Payable
  • Review documentation for completeness and accuracy before submission.
  • Support project managers in resolving billing discrepancies.

?? Client & Team Communication

  • Communicate with customers via email and telephone regarding project updates, documentation requests, and follow-ups.
  • Maintain professional and responsive communication with vendors and subcontractors.
  • Serve as an administrative liaison between field operations and office staff.

Required Skills & Qualifications

  • 2+ years of experience in construction administration or project coordination (preferred).
  • Strong understanding of construction documentation and change order processes.
  • Excellent organizational and time-management skills.
  • Proficiency in Microsoft Office (Excel, Word, Outlook); experience with construction management software is a plus.
  • Strong written and verbal communication skills.
  • Ability to manage multiple projects and deadlines simultaneously.
